The Consulate General of Denmark in São Paulo is looking for an experienced biligual officer to lead our administration and consular team

Position: Bilingual Administrator and Consular Officer

The Consulate General of Denmark/Innovation Centre Denmark in São Paulo is Denmark’s diplomatic mission in São Paulo. We are a team of 15 employees, helping Danish businesses and research environment to connect to the local environment, and assisting Danish citizens living in/travelling in the state of São Paulo with consular matters. As our experienced administrator is leaving the position, we are now seeking to recruit her replacement.

About the Team and the Job

We are looking for a highly efficient and empathetic team leader with ability to lead with multiple tasks at the same time and with proven experience managing financial and administrative systems.

You will be the team leader of the administrative and consular department, with a great variety of tasks. Two of the team members work directly with consular issues and all three have responsibilities within the administrative area.

We work closely together and share ideas, experiences and suggestions in an open and informal environment.

As an Administrator and Consular Officer, you will have daily contact with the employees at the Consulate, the Ministry of Foreign Affairs and Danes in São Paulo, and it is therefore important that you thrive with the contact to different people and different situations.

Main Tasks and Responsibilities as an Administrator and Consular Officer

• Overall responsibility for the accounting at the Consulate, including payments and registers in the accounting system, quarterly financial statement and 
   reconciliations, budgeting and budget follow-up in cooperation with the Head of Mission,
• HR-issues related to recruitment of employees, including local and Danish interns, contracts and bureaucratic issues in accordance with MFA-rules and local 
   legislation
• General administration and daily running of the Consulate and facilities, including rental agreements, inventory and maintenance among others
• IT: responsible for the functioning of the IT-systems, PC’s and server, telephone system etc.
• Responsible for passport applications, citizenship cases, assisting Danish citizens in various consular matters among others
• Diverse ad hoc tasks related to HR, Finance, Running of the Consulate and IT

About You

• Relevant education and/or professional experience within accounting, administration and HR-issues
• High fluency in English and Portuguese, spoken and written is an absolute must
• Knowledge of Danish, Norwegian or Swedish is an advantage
• As you are going to be super user of several financial and administrative programs, solid IT user skills, preferably experience as user of financial systems and other
  administrative programs.
• Ability to handle multiple tasks and work under time pressure
• Great interpersonal and cooperation skills, as a team leader and responsible for matters across the departments at the Consulate
• Excellent organizational skills, efficient and structured
• A positive, pro-active and solution-oriented attitude
