The Consulate General of Denmark/Innovation Centre Denmark in São Paulo is Denmark’s diplomatic mission in São Paulo. We are a team of 15 employees helping Danish business and research environment to connect to the local environment and assisting Danish citizens living in/travelling in the state of São Paulo with consular matters.

About the Team and the Job

We are looking for a highly efficient, empathetic and structured colleague with proven experience in managing financial and administrative systems.

You will be part of the administrative and consular department. Your main responsibility will be within the administrative and accounting area, however you will also take part in consular issues and assist with consular matters when needed.

We work closely together and share ideas, experiences and suggestions in an open and informal environment.

As Administrative and Consular Officer you will have daily contact with the employees at the Consulate General, the Ministry of Foreign Affairs of Denmark and Danes in São Paulo. It is therefore important that you thrive with having contact to different people and different situations.

Main Tasks and Responsibilities as Administrative and Consular Officer

- Overall responsibility for the accounting at the Consulate General, including payments and registers in the accounting system, quarterly financial statements and reconciliations, budgeting and budget follow-up in cooperation with the Head of Mission;

- HR-issues related to recruitment of employees, including local and Danish interns, contracts and issues in accordance with rules for the Danish Ministry of Foreign Affairs and local legislation;

- General administration and daily running of the Consulate General and facilities, including rental agreements, inventory and maintenance among others;

- IT: responsible for the functioning of the IT-systems, PC’s and server, telephone system etc.;

- Assisting with passport applications, citizenship cases, assisting Danish citizens in various consular matters among others;

- Diverse ad hoc tasks related to HR, finance, running of the Consulate General and IT.

About You

- Relevant education and/or professional experience within accounting, administration and HR-issues;

- High fluency in English and Portuguese spoken and written is an absolute must;

- Knowledge of Danish, Norwegian and/or Swedish is an advantage;

- As you are going to be super user of several financial and administrative programs, solid IT user skills, preferably experience as user of financial systems and other administrative programs;

- Ability to handle multiple tasks and work under time pressure;

- Great interpersonal and cooperation skills;

- Excellent organizational skills, efficient and structured;

- A positive, pro-active, open and solution-oriented attitude.
